ADMINISTRATIVE ASSISTANT

 Key Responsibilities:

- Administrative duties:

  • Receptionist duties:
    • Fielding telephone calls
    • Receiving and directing visitors
    • Operating office machines
    • Taking down and forwarding messages.
  • Travel-related duties:
    • Booking tickets, hotels and car rentals
    • Preparing travel itineraries
    • Coordinating the activities of the FSPPM vehicle pool
    • Visa processing for FSPPM faculty, staff, and guests
  • Event-related duties:
    • Scheduling appointments and maintaining FSPPM meeting schedules
    • Providing administrative and logistical support in preparation for major FSPPM events including workshops, conferences, admissions, and graduations
  • Office support duties:
    • Managing the inflow and outflow of documents
    • Maintaining files
    • Placing orders for office supplies and managing stationeries
    • Assisting with overflow work for the FSPPM director, MPP director, and other units

- Academic duties:

  • Recruitment-related duties:
    • Maintaining and updating the list of organizations, government enterprises, and universities to be targeted for outreach efforts
    • Responding to student recruitment inquiries
    • Tracking, checking, and correcting student application and admissions documents
  • School-year operational duties:
    • Compiling student lodging registration information
    • Printing student name tags and name boards
    • Maintaining and updating student roll-calls
    • Providing logistical support to periodic seminars in the form of registration services, emailing invitations, photocopying documents, tracking attendance, etc.
    • Scanning syllabi
    • Maintaining and updating the faculty rosters
    • Assisting the thesis examination board members by compiling, delivering, and collecting student theses in a timely fashion 

Requirements:

- English fluency (written and verbal)

- University graduate (English qualifications preferred)
- Ability to work in an academic work environment
- Detail-oriented and proactive work ethic

- Willingness to work overtime as needed
